Fulfilment Explained

Inside a fulfilment centre

How fulfilment centre operations keep orders moving

Fulfilment centres play a central role in modern retail. They manage the flow of goods from storage to dispatch, handling everything from stock control to delivery preparation. For a scaling ecommerce business, working round-the-clock to meet customer expectations around speed and accuracy, a fulfilment centre provides the structure needed to process orders on time, maintain visibility of inventory levels and adapt as order volume changes.

The following guide explains what happens inside a fulfilment centre and how each step of the order fulfilment process supports efficient, reliable operations.

What is a fulfilment centre?

Sitting at the core of supply chains, fulfilment centres are busy, processdriven facilities, designed to store, pick, pack and ship products directly to customers. Unlike a traditional warehouse, which is focused on longterm storage, a fulfilment centre operates as a distribution hub where goods are constantly moving. Stock is received, checked, organised and replenished. Orders are continually processed throughout the day, and retailers and carriers collect dispatches on scheduled routes. Every activity is designed to support fast, accurate ‘order fulfilment’, the process by which a product is bought and how it arrives with a consumer.

Fulfilment centre operations rely on top visibility and control. Retailers need clear insight into inventory levels to prevent overselling or overstocking and to plan confidently. That’s because customers expect deliveries that arrive when promised. Through the use of structured workflows, highly trained teams and modern technology, fulfilment centres help retailers deliver consistent service while improving overall supply chain efficiency.

1. Goods In and Inventory Receipt

Goods are unloaded, checked, counted and inspected. Any variances are recorded so stocking errors can be addressed before they affect future orders. Once items are verified, they are booked into the warehouse management system (WMS). At Fidelity, we use a proprietary WMS called Unify (LINK) to power our operations. This provides accurate stock visibility across channels.

Products are then allocated to storage locations. Fast‑moving items may be positioned close to pick routes. Bulk stock may be placed in pallet racking. Some centres use automated storage and retrieval systems to improve speed and accuracy, particularly when dealing with higher order volumes.

Receiving is more than a simple check‑in step. Errors caught here prevent incorrect orders, improve reporting and reduce the risk of out‑of‑stock situations later.

2. Inventory Management and Storage

Good inventory management underpins the entire fulfilment operation. Products are stored efficiently to make the best use of warehouse space while remaining accessible to picking teams. Stock levels are tracked in real time so replenishment tasks can be carried out promptly.

Retailers rely heavily on this visibility. Accurate stock data supports marketing decisions, prevents overselling and helps reduce unnecessary carrying costs. When replenishment is timely, pickers always have access to the items they need, which keeps order processing consistent even during busy periods.

3. Order Processing and Order Picking

When a customer places an order, the information flows directly into the fulfilment centre’s systems. Orders are prioritised according to delivery commitments and carrier cut‑off times. This ensures next‑day deliveries and time‑sensitive shipments receive prompt attention.

The picking process varies depending on the operation. Some centres use single‑order picking for accuracy. Others apply batch or zone picking to reduce walking time across larger spaces. Regardless of method, the objective remains the same. Pick items correctly first time.

Barcode scanning, digital pick lists and optimised pick routes help teams move quickly and reduce the risk of mistakes. Customers expect reliability, and accurate picking plays the largest part in meeting that expectation.

4. Packing and Shipping

Once items reach the packing station, a second accuracy check is completed. Packers then select suitable packaging to protect the products and maintain costeffective shipping rates. Using too much void fill or an oversized box increases delivery costs unnecessarily, so packaging decisions matter.

Shipping labels are generated from integrated carrier systems. Tracking information is automatically created and passed back to the retailer or platform. At this stage, the order is picked, packed and ready for dispatch.

Packed parcels are sorted by courier and service level. Collections occur throughout the day based on scheduled     routes and delivery deadlines. By consolidating shipments and using negotiated rates, fulfilment centres help retailers reduce overall shipping costs.

Reliable dispatch is one of the biggest contributors to customer satisfaction. When orders arrive on time and in good condition, customers are more likely to return. Smooth delivery reinforces trust and supports long‑term growth.

5. Returns Handling

Returns are a natural part of online retail. Fulfilment centres manage this process by inspecting returned items, determining whether they can be restocked and updating inventory levels accordingly. Quick processing shortens the returns cycle and keeps stock data accurate, which helps control costs and supports resale opportunities.
